    Question Saving a mailbox for a user you plan to delete?

    Hi all,

    I have a user account for a fairly important person who will be leaving. I would like to save the contents of his mailbox, then delete his account (both from active directory and Zimbra).

    First - is it possible to do this? I am using the free edition. Second, how do I do this? Third - If this is done, how do I access this mailbox if someone needs an important email in the future?

    Any help greatly appreciated,

    If you are using outlook you could export his mailbox as a .pst. If you need a message you can open the .pst with outlook later. The NE version allows you to backup a single users mailbox. I don't know how to do that with OSS version but the wiki or other member should explain how.

    strong reason you need to delete from zimbra? (one would be # of account licences)

    If you have plenty:
    Change the account status to locked/closed depending on what you need. (ie incoming mail still delivered or not)

    You can always view mail then whenever needed.

    You can also export the contacts in .csv using REST. (same for emails in .eml format in a zipped folder)

    Thanks for the prompt help.

    I have the free edition - I thought I couldn't user Outlook?

    The issue is also a personnel issue - this user needs the email saved and the account removed (right now, no matter what I do, the user account is still visible in the GAL. Even if I click the box for "hide in GAL" etc. This is probably due to Active Directory).

    So I need to place these emails somewhere else, and remove the account (or better yet, find a way to hide the account from the GAL).

    Just to test.... I went into Zimbra admin and checked the box for "hide in GAL.) I then did a search for him from my Zimbra account - and he's there. I went into AD, disabled the account - same thing - he is showing up in the GAL.

    Outlook can connect using pop3 or imap. You should be able to export the messages to .pst. If you need the contacts you might have to use a different mail client and export them as .csv and re import them into outlook before making a .pst.

    Your going to have to remove him from the AD (because u have lookup set to both) before he'll disappear from gal.

    you hid him from zimbra's gal though

    or you could make a hold.domain.com in zimbra & AD, and move him to it-just a drop down box (by default the two gal's won't interact)

    And just to be clear (covering my butt here...) when I move him to the fake domain, the emails will still be there?

    If your going to delete him from AD:
    -just 'close' the status
    -check the hide in gal

    As your gal lookup is set to 'both'
    If your going to leave him in AD then you need to make a new domain in AD and zimbra to hide him from GAL lookups.
    (no you don't loose mail)

    My authentication is set to AD only (not both).

    I don't want to leave him in AD, I want to delete the account.

    I can verify what you are saying - when I put the Zimbra server together I made a test domain. It still exists, and email accounts in it are not seen in the GAL.
