Default Zimbra as corporate mail account server

Hi,

We are planning to use Zimbra with our corporate email accounts like hrm, sales, info, etc. The users responsible from these accounts can change but the message arcieve has to be kept under strict control.

Can Zimbra be configured so that part or all of the account owners can only ;
- Use web interface,
- send and/or reply to messages,
- read the received messages,

and can not ;
- delete any of the sent or received messages ?

Consider using the ZCS Archiving and Discovery module (part of NE Edition). While it will not prevent users from deleting messages, there will always be an archived copy.

You can also set up sales@ as a separate mailbox but not give anyone access to it.

Instead, configure the sales@ mailbox to forward to the appropriate individual users' mailboxes either directly in the mailbox settings or by way of a Distribution list.

In that way, you avoid using an Archive mailbox and (assuming all mailboxes are on the same mailbox server) preserve hard links for all of the mail blobs, thereby using storage efficiently.

Staff changes? Just modify the D/L or the sales@mailbox forwarding and you can then safely delete departed users' mailboxes without orphaning any shares on the sales@ mailbox.

Hi,

Am I wrong or this method solves only the receiving part of my issue.

I also need to monitor the sent messages from these kind of accounts as well. Then ;
- I will have to keep a copy of all the sent messages from different users,
- I will have to monitor the "sent from:" header of all those sent messages from multiple users,

Do you think it would be feasible and wise to keep the consistency between received and sent messages for every corporate account ?

Apologies; I missed the part where you said you need to keep the Sent messages from each user as well.

In that case, the easiest thing would indeed be to use the Archiving and Discovery feature.

You can share out Read-Only the A&D mailboxes' Inbox and Sent Items folders to managers for easy review and tracking.
