Default best practice for leaving staff account

For leaving staffs, we will need to access their accounts in order to set auto-reply to sender, then forward all email to colleagues taking over their accounts as well as sharing their inbox to them.

We notice that we can't close their account as it will disable auto-reply and forwarding. We also notice that we can't lock their accounts as shared mailboxes will no longer be accessible.

Is there any Zimbra best practices for handling leaving staff accounts?

We tend to give shared access to the account, using the childAccount functions so that any outstanding work can be handled by another staff member, then shortly after, I will use the admin console to log into the old user account and archive the whole thing into a file, the account will then be deleted.

If necessary, an alias to the old account can then be created so mail can still be recieved at that address.

I doubt this process would be right for everybody, but it works ok for us.
